Account details: your name, email address, telephone number and a securely hashed password. Enquiry and stay details: the homes and dates you enquire about, bookings, and your correspondence with us. Financial records: payments, invoices, bills and deposit records (we do not store full card numbers — card payments are handled by our payment providers). Documents: items such as inventories and bills relating to your stay. Messages: questions and complaints you raise through the portal. Verification data: where the law requires it, right-to-rent or identity information. Technical data: your IP address, device and browser information, and basic usage logs needed to run and secure the service.
To provide the service and perform our contract with you: creating and running your account, managing enquiries, stays, payments, documents and messages. For our legitimate interests: to operate, secure and improve the service, prevent fraud and misuse, and keep records. To meet legal obligations: for example accounting, tax and any right-to-rent checks. With your consent: for any optional marketing, which you can withdraw at any time.
We share personal data only as needed to provide the service: with the owner or landlord of a property you enquire about or stay in, so your stay can be arranged and managed; with our service providers acting on our instructions (for example payment providers such as Stripe or GoCardless, a tenancy-deposit scheme, hosting providers, and vetted contractors); with our professional advisers; and with authorities or third parties where we are required to by law or to protect our rights. We do not sell your personal data, and we do not allow advertisers to pay to target you.
We aim to keep personal data within the UK or European Economic Area. Where a provider processes data outside the UK/EEA, we take steps to ensure it is protected by appropriate safeguards.
We keep personal data only as long as necessary for the purposes above, and to meet legal and accounting requirements — financial records are typically kept for six to seven years. When data is no longer needed we delete or anonymise it.
We use encryption in transit (HTTPS), store passwords only as salted hashes, restrict access to those who need it, offer two-factor authentication on accounts, and hold sensitive documents behind per-file access controls.
Under UK data-protection law you have the right to access your data; to have it corrected; to have it erased; to restrict or object to processing; to data portability; and to withdraw consent where we rely on it.
